Position Summary:
The Construction Data & Takeoff Analyst supports estimating, operations, and executive leadership by converting construction plans, project data, and operational information into accurate material and labor takeoffs and actionable business insights. This role combines blueprint interpretation with advanced data analysis using Excel, Power Query, Pivot Tables, and Power BI to produce decision-ready reports.
Core Responsibilities:
- Analyze construction drawings and produce accurate material and labor takeoffs.
- Identify scope gaps, inconsistencies, and risk items within plans.
- Convert takeoff quantities into cost models for estimating teams.
- Build Excel data models using formulas, pivot tables, and Power Query.
- Develop Power BI dashboards to track operational and financial performance.
- Analyze job cost data to identify productivity trends and margin opportunities.
- Automate reporting workflows and improve data collection methods.
- Provide executive-level summaries for management review.
Key Results Area #1 – Takeoff Accuracy & Estimating Support:
Objective: Deliver highly accurate and timely material and labor takeoffs to support estimating success.
Duties & Responsibilities:
- Analyze construction drawings and specifications to produce detailed takeoffs.
- Identify scope gaps, inconsistencies, and risk items within plans.
- Convert takeoff quantities into usable cost inputs for estimating.
Success Metrics (KPIs):
- Maintain takeoff accuracy within ±3–5% variance.
- Complete standard takeoffs within 24–48 hours.
- Reduce estimator manual takeoff time by 30–50%.
Key Results Area #2 – Data Modeling & Reporting:
Objective: Build structured, reliable data models that support operational and financial decision-making.
Duties & Responsibilities:
- Develop Excel-based data models using formulas, pivot tables, and Power Query.
- Structure and organize large datasets for analysis.
- Ensure consistency and usability of reporting data.
Success Metrics (KPIs):
- Maintain greater than 99% reporting data accuracy.
- Improve reporting efficiency through automation.
Key Results Area #3 – Business Intelligence & Dashboarding:
- Objective: Provide clear, visual insights into company performance through dashboards and analytics.
Duties & Responsibilities:
- Build and maintain Power BI dashboards.
- Track operational performance and financial metrics.
- Deliver recurring reports for leadership review.
Success Metrics (KPIs):
- Deliver monthly operational analytics reports.
- Improve visibility into key performance indicators across projects.
Key Results Area #4 – Job Cost & Productivity Analysis:
Objective: Identify trends and opportunities to improve profitability and efficiency.
Duties & Responsibilities:
- Analyze job cost data and labor productivity.
- Identify margin improvement opportunities.
- Provide actionable insights to estimating and operations teams.
Success Metrics (KPIs):
- Identify measurable productivity improvements.
- Contribute to improved project margins.
Key Results Area #5 – Process Improvement & Automation:
Objective: Streamline workflows and reduce manual effort through automation and better data practices.
Duties & Responsibilities:
- Automate reporting workflows.
- Improve data collection and tracking systems.
- Standardized processes for repeatability and efficiency.
Success Metrics (KPIs):
- Reduce manual reporting effort.
- Increase speed and reliability of data delivery.
Required Skills & Competencies:
- Advanced Microsoft Excel (pivot tables, Power Query, formulas, data modeling).
- Power BI dashboard development.
- Blueprint and plan reading proficienct.
- Strong understanding of construction materials and labor productivity.
- Analytical thinking and data mining capability.
Preferred Experience:
- Experience with estimating software (Bluebeam, PlanSwift, On-Screen Takeoff, Stack).
- Familiarity with construction ERP or job cost systems.
Compensation & Work Environment:
- Salary range: $85,000–$120,000 (based on experience).
- Potential performance-based bonus.
- Office-based role depending on company operations.
