Key Results Area #1 – Sales Support:
Duties & Responsibilities:  
  • Prepare appointment paperwork and research previous address history.
  • Research property addresses (for sales appointments) to determine if impacted by ordinances for historic properties; also determine, for addresses with St. Louis location, if within city boundaries.  
  • Prepare pre-bid paperwork.
  • Type proposals, reports, change orders, correspondence, diagrams, etc. per HBS direction.  
  • Edit/Review proposals, reports, change orders, correspondence for accuracy, and confirm content with Historic Building Specialists.  
  • When/If directed, submit proposals, correspondence, etc. all, to clients, and necessary business representatives, as needed.
  • Update deal records/pipeline in HubSpot when proposals, reports, etc., are sent to client by Roof Specialist, Service Tech, or self.  
  • Manage/maintain word processing templates, updating yearly with new business information, creating, updating editable PDFs and updating templates as needed.
  • Provide technology assistance for Roof Specialists, Service Technicians, Production Manager, and Foremen, as needed- including phone, video, email communications, and updates.  
  • Provide processing assistance, photo, data organizing, and ‘cloud’-management of client data.  
  • Fax, scan, copy documents as needed.
  • Create and manage data collection apps for CCC reports, MBA reports, etc., using Fulcrum.
  • Prepare in advance fillable Service Agreements for Service Tech appointments.
  • Track follow-up to appointments – reports/proposals/pictures sent to client.
  • Track proposals sent & investment value of proposals for each Roof Specialist/Service Tech; update when proposals revised by Roof Specialist/Service Tech, etc.  
  • Track proposals sold for each Roof Specialist/Service Tech.
  • May perform additional duties, as assigned by leadership.
Key Results Area #2 – Production Assistance / Proposal Processing:
Duties & Responsibilities:
  • Scan, PDF, organize, save as needed on Co. server, authorized documents from clients.  
  • Forward authorized documents to sales/acct/production teams.  
  • Update sales/production staff with documentation/files, as needed.
  • Forward completed foreman copies to production and CSA in Rockford.
  • Process payments received in office; update HubSpot & notify appropriate personnel at main office.  Nicole and Jessica-Example: Inspection and service call payments. 
  • Send scanned copies and originals of receipts for all office & production purchases to appropriate personnel at main office.  
  • Maintain inventory list for Foremen/Production manager, forward weekly to appropriate personnel at main office. 
  • Create CCC reports for each visit, comparing to previous CCC visit reports and work performed at home between visits. Forward reports to CSA to send to client OR send with proposal based on Service Tech’s findings during CCC visit.  
  • Obtain permits for STL City (Due to it being in person) and send accordingly to accounting, production and CSA.
  • Keep Production Team aware of permits based on schedule (avoiding expiration dates).
  • May perform additional duties, as assigned by leadership.  

Key Results Area #3 –Office Services:
Duties & Responsibilities:
  • Set up any office services for the buildings (internet, heat, water, etc.)
  • Troubleshoot onsite tech issues.
  • Track vehicle maintenance.
  • Track vehicle registration stickers to make sure they are current.
  • Handle reimbursement requests for employees.
  • Manage all petty cash and blanks checks.
  • Manage assignment of door key fobs and issues.
  • May perform additional duties, as assigned by leadership. 
Key Results Area #4 –Leadership Assistant:
Duties & Responsibilities:
  • Assist H.R. with data collection, paperwork, and information transfer. (Confidential documents, sending up north to HR Department).
  • Compile paperwork for legal proceedings when necessary, corresponding with attorney’s office.
  • Clean up St. Louis drive/server for duplicates and efficiency.
  • May perform additional duties, as assigned by leadership.
Qualifications/Skills required:  
  • High School diploma, or equivalent, associate degree preferred.
  • Excellent communication skills- written, and verbal.
  • 3+ years, office experience, administrative capacity.
  • 3+ years, customer service experience- preferred. 
  • Mobile technology and computer technology- experience, proficiency.
  • MS Office, especially, Word, Excel- experience, proficiency.
  • Professional appearance.
  • Organizational skills- prioritizing, multi-tasking.
  • Schedule flexibility.
